This Privacy Policy explains how we collect, use, store, and protect personal and operational data across our GPS fleet tracking, CCTV surveillance, networking equipment, and web development services, as well as through our website at navion.com.np.

By using our services or website, you consent to the data practices described in this policy. If you do not agree, please discontinue use of our services.

2. Data We Collect

We collect different categories of data depending on the service used:

2.1 GPS Fleet Management

• Vehicle location (latitude, longitude, timestamp)
• Speed, heading, and route history
• Engine status, fuel level, and ignition events
• Driver behavior data (harsh braking, acceleration, idling)
• Audio data from in-vehicle microphones (one-way listen only, on supported devices, where enabled by the fleet operator)
• SOS alert events and geofence breach notifications

2.2 CCTV & Surveillance

• Video footage captured at client-designated locations
• Motion detection events and timestamps
• Remote access logs (IP address, access time, user ID) when remote monitoring is configured

2.3 Website & Platform

• Account information: name, organisation name, email address, phone number
• Usage data: pages visited, features used, session duration
• Technical data: IP address, browser type, device type, operating system
• Communication records: contact form submissions, support enquiries

2.4 Web Development Projects

• Project briefs, business information, and content provided by clients
• Access credentials for third-party platforms (stored securely and deleted post-project unless otherwise agreed)

3. How We Use Your Data

We use collected data strictly for the following purposes:

• Delivering and operating our GPS tracking, CCTV, networking, and software services
• Providing fleet management dashboards, reports, and alerts to fleet operators
• Billing, account management, and customer support
• Improving our products and platform through aggregated, anonymised usage analytics
• Sending service notifications, maintenance alerts, and subscription renewal reminders
• Complying with legal obligations under Nepal's applicable laws

We do not use GPS tracking data, CCTV footage, or vehicle telemetry for advertising purposes.

4. Data Storage & Retention

GPS location history and vehicle telemetry data is retained for a default period of 90 days on the NaviOn platform. Extended storage periods may be available on request. CCTV footage storage duration is determined by the NVR/DVR capacity configured during installation and is managed by the client.

Account data is retained for the duration of the service agreement plus 12 months following termination, after which it is securely deleted. You may request earlier deletion by contacting us (subject to legal retention obligations).

NaviOn stores data on servers located in Nepal and trusted cloud infrastructure providers. All stored data is protected with industry-standard encryption at rest and in transit.

5. Data Sharing & Third Parties

NaviOn does not sell your personal data or operational data to third parties. We may share data only in the following circumstances:

• Service delivery: with trusted technology partners (e.g. SMS gateway, cloud hosting, mapping services) strictly necessary to provide our services.
• Legal requirements: when required by a competent authority or court order under Nepal's applicable law.
• Business transfer: in the event of a merger, acquisition, or sale of assets, with appropriate notification to affected customers.

6. GPS & Vehicle Data — Special Notice for Fleet Operators

Fleet operators using NaviOn's GPS platform are responsible for ensuring that drivers and vehicle occupants are appropriately informed that their vehicle location, speed, and behavior data is being monitored, as required by applicable labour and privacy regulations in Nepal.

Audio monitoring via in-vehicle microphones (available on NaviOn GPS Smart devices) must only be enabled with appropriate consent and in accordance with Nepal's applicable laws. NaviOn is not liable for a fleet operator's failure to comply with these obligations.

7. Cookies

Our website uses cookies and similar technologies to maintain session state, remember your preferences, and collect aggregated analytics via Google Tag Manager. You may disable non-essential cookies through your browser settings. Disabling cookies may affect the functionality of our platform.

8. Your Rights

You have the right to:

• Access — request a copy of personal data we hold about you.
• Correction — request correction of inaccurate or incomplete data.
• Deletion — request deletion of your data, subject to legal retention obligations.

NaviOn implements appropriate technical and organisational measures to protect data against unauthorised access, loss, or destruction.
